Choose who approves points uploads
Go to Rewards Hub → Upload approvals and select Assign approver. Each uploader has one approver, who reviews every batch that uploader submits.
The uploader submits the CSV file. The approver reviews it before any points are issued. Set this up before anyone uploads points.
Assign an approver
- Go to Rewards Hub → Upload approvals and select Assign approver.
- Under Uploader, search by name and pick the person who will submit files.
- Under Approver, pick the person who will review them.
- Select Assign approver.
Saving gives the uploader upload access and the approver approval access. It also gives both of them an HR role, so they can sign in to the admin dashboard.
Both people must use a verified company email address. You can pick the same person for both. You’ll see a warning, because their uploads would then get no independent review.
Change or remove an approver
Open the row menu and select Change approver or Remove assignment.
- The change applies to future uploads only. Batches already waiting keep the approver they were sent to.
- If the old approver doesn’t approve for anyone else, they lose approval access. They can’t then approve the batches still waiting for them. Ask them to approve or reject those batches before you make the change.
- Removing an assignment doesn’t take away the HR role it gave.
If an uploader has no approver
Their batches go to a default approver at Vantage Circle. They won’t appear in anyone’s Approvals tab at your company. Assign an approver, then ask the uploader to submit the file again under a new file name. A file name that was already uploaded is refused.
If something goes wrong
- “Uploader domain not in verified list of domains” or “Approver domain not in verified list of domains”: that person’s email address isn’t on one of your company’s verified domains. Pick someone whose work email is on a verified domain.
- “This uploader already has an approver. Change the existing assignment instead.”: each uploader can have only one approver. Use Change approver on their row.
- “Uploader and Approver combination already exists.”: this pair is already set up.
In the list, “No longer in the directory” means that person can’t be found any more. Use Change approver, or remove the assignment and make a new one.
